Due to its expansion, Spineart is consolidating its Event Department with the recruitment of an:

EVENT MANAGER

JOB PROFILE

This role will provide support in planning, management and execution of Events and Congresses in the spine area. Responsibilities include all aspects associated with organizing, planning and post event wrap-up.

• Manage housing block for each congress
• Provide registration, attendance and all reporting as required
• Manage all housing applications for all congresses with recommendations for each block based on previous year activity and +/- expectations
• Negotiate & secure meeting space with congress and/or hotel
• Manage AV, F&B requirements as well as booth or convention hall meeting space and room set up
• Development of booth design and set up in collaboration with the agency
• Management of Surgeons sponsoring
• Manage each event within budget parameters
• Provide support to other departments for additional meeting space and logistics
• Coordinate demo material shipments and returns
• Organize and lead planning meetings with the broader Marketing team
• Create & manage preparation of supportive meeting planning materials
• Maintain and update congress calendars, congress schedules
• Provide on-site assistance; oversee specific areas/details of program
• Monitor deposit schedule, cancellation policies and deadlines for all housing, meeting space, booth, AV and F&B payments
• Invoice accuracy, in compliance with company invoicing processes
• Reconciliation of deposits and pre-pays post event

• Define and monitor budget for each congress/event
• Ensure all business-critical deadlines are met for each congress
• Ensure compliance with French authorities
• Attendance & contribution at department meetings
• Effective interaction with other departments – e.g. Marketing, IT, Finance…
• Special projects (Educational events, distributor meetings, etc.) as required

REQUIREMENTS

• Strong skills in Microsoft Suite, with focus on PowerPoint, Word, Excel
• Cvent skills, preferably Cvent Certified
• Strong oral and written communications skills
• Attention to detail
• Ability to perform under tight timelines, fast-paced, changing environments
• Solid understanding of housing and registration requirements & processes
• Negotiation skills with vendors such as AV, meeting space, F&B contracts
• Understanding of industry compliance parameters
• Maintain/develop good long-term relationships with hotels, venues and suppliers
• 5+ years’ experience in congress management for medical sector, MedTech or Spine area
• Fluent English and French, German would be an asset
